Membership cards are easier to design and issue when the organisation has already decided what the card needs to show, which details change between members and what should happen at renewal, replacement or check-in.

Decide what the card needs to show before choosing the design.

List the information staff, volunteers and members need to recognise, such as a name, photograph, member number, tier, expiry date or concise programme instruction.

Keep only useful information on the physical card. Membership status or entitlement may still need to be checked against the organisation’s current records or connected system.

Plan member data, renewals and later orders as one process.

Define the data columns, file format, longest names and numbers, photographs, date format and the person responsible for approving the records and proof.

Decide how new members, changed details, lost cards, renewals, replacements and later orders will be supplied so the approved artwork and data rules remain consistent.

Confirm check-in or access requirements before choosing card technology.

A visible number, barcode, magnetic stripe, RFID or NFC feature should only be chosen after the existing membership, gym, venue or access provider confirms what its system accepts.
